Payment Process and Terms

A 15% deposit is payable upon your successful acceptance into the program. ACICIS will issue you with an electronic payment link for this deposit with formal notification of your acceptance. Your place on the tour will only be confirmed upon ACICIS’ receipt of your deposit. The deposit is non-refundable.

The payment of the remainder of the tour fee is due one month before the tour start date.

Final Payment
ACICIS will issue you with another electronic payment link for the remainder of the tour fee plus any optional extras once your place on the tour has been confirmed. Settlement of final payment is required no less than 30 days prior to the tour commencement date. Unless deferred payment has been formally approved by the ACICIS Secretariat, failure to settle final payment within the specified time frame will result in the forfeiture of your place on the tour.

Withdrawal and Refunds
The deposit payment is non-refundable.

Withdrawal from the PHST after the tour fee has been paid to ACICIS in full, and up to 30 days prior to the tour commencement date will attract a total withdrawal fee of $1,024 (15% tour deposit + $374) with the balance of the tour fee being refundable.

No refund of the tour will be possible in the event that a participant withdraws from the tour less than 30 days prior to the tour commencement date.

For participants enrolled in a home university subject code for the purposes of undertaking the PHST, arrangements for the withdrawal from this subject code – and any applicable financial and/or academic penalties – are determined by the regulations in force at a student’s home university. Participants are advised to consult with their home university or faculty administration regarding applicable subject withdrawal policies, procedures, and penalties. If in doubt, contact the ACICIS Secretariat for advice about who to speak to at your university.

Temporary Withdrawal Policy Changes for ACICIS Programs Commencing in November 2022/January 2023

While ACICIS hopes that our in-country program intakes commencing in November 2022 and January 2023 will be able to proceed, we acknowledge that prospective applicants may be unwilling to make any financial commitments to participating given the possibility that their chosen program may be cancelled, or restrictions on outbound mobility may remain in place at their home university.

To ease these concerns, ACICIS’ pre-program withdrawal policies are amended as follows for all in-country program intakes commencing from November 2022 onwards:

All fee payment deadlines will remain as published, however, any payments made to ACICIS will be fully refundable should participants need to withdraw from their program prior to commencement under the following circumstances:

  • Their home university imposing restrictions on outbound student mobility to Indonesia/worldwide (or current restrictions on outbound mobility remaining in place)
  • The Australian Government’s travel advice level for their program location or Indonesia overall increasing to Level 4 – Do not travel and/or
  • The ACICIS National Reference Group (or delegate) deciding to cancel their ACICIS program prior to its commencement.

Any queries regarding this temporary amendment to our program withdrawal policies may be directed to the ACICIS Secretariat by email ( or phone (+61 8 6488 6675).
