A few positions have become available within The Australian Consortium for ‘In-Country’ Indonesian Studies (ACICIS) for the Jakarta and Yogyakarta Offices for a Program Assistant (PA). This position would suit a graduate of a local or Australian university. Position Description

This is a position who would suit a graduate of an Indonesian or Australian university. The PA will mainly be assisting the ACICIS Program Coordinator/ Manager. The PA reports directly to the Program Coordinator (PC), and then the Program Manager (PM). Duties to be performed by the PA include, but are not limited to:

  1. The planning of program events including orientation, excursions and other activities as directed by the PC, PM and/ or Resident Director (RD);
  2. Assist the Program Coordinator (PC) in managing program administrative materials and logistics needed for the pre-departure phase and implementation of programs;
  3. Assist the Perth Secretariat in securing all required immigration documents from students for in-country study in Indonesia;
  4. Serving as a liaison with partner universities, schools, hotels and other stakeholders and maintaining sound relationships with key personnel at these institutions;
  5. Assisting the PC in program logistics such as booking accommodation, transportation and meals for ACICIS program;
  6. Actively mentoring all students on matters pertaining to their work and study and their general understanding of Indonesia, and advising on appropriate conduct in Indonesia;
  7. In cooperation with the PC/ PM, complete all routine administration that is part of ACICIS pastoral care responsibilities (maintaining databases, counselling students, liaising with home universities as required);
  8. Providing assistance to students in routine and/or emergency medical or security procedures;
  9. Conducting end of program evaluation sessions with participants and offering this information as feedback into the ongoing development and improvement of ACICIS programs;
  10. Assisting other ACICIS programs and tasks when directed by the PC/ PM/ RD.

Working Hours and Remuneration

  1. This position is offered as offered as a seven-month contract starting 1 August 2022 – 28 February 2023 with the possibility of extension;
  2. This role is full-time, 40 hours per week, with the understanding that the scheduling of program events means that the distribution of hours over the period of a week may be flexible. Standard work hours are 9am-5pm, Monday to Friday, with a one-hour lunch break. Occasional out-of-hours’ work will be required during orientation sessions and extra-curricular activities, and will be compensated through leave in lieu;
  3. The PA role will be remunerated at a competitive rate, starting from IDR 4,369,000 (gross, before tax) with an additional 35% loading for Jakarta based positions, or commensurate with the applicant’s skills and experience.

Selection Criteria:

  1. Bachelor’s Degree (S1) from an Indonesian or Australian university with a sound academic record;
  2. At least 2 (two) years of professional experience in a similar position;
  3. Professional level of English proficiency, and a willingness to develop this further as a part of the role;
  4. Computer literacy in using the Microsoft Office suite, video conferencing platforms, cloud services, social media applications; and Photoshop/ InDesign (desirable);
  5. Excellent time management skills and the ability to prioritise a range of competing tasks;
  6. Demonstrated sound cross-cultural, professional communication skills in written and oral, and a willingness to learn about new cultures;
  7. A team player with a pleasant personality who can work well in flexible working environments.
